Maintenance Request Triage & Vendor Dispatch System
A done-for-you property management automation built for the Maintenance Coordinator, connecting Twilio and Jotform so the work below happens on its own.
What this automation does, step by step
A tenant-submitted maintenance request is automatically categorized by urgency and repair type, then routed to the appropriate vendor with the tenant's photos and description attached, instead of the maintenance coordinator manually reading every ticket and deciding who to call.
Plumbing goes to the plumber, electrical to the electrician, and anything flagged urgent jumps straight to the front of the queue with an internal alert, cutting the time between a tenant reporting a problem and a vendor actually being dispatched from days down to minutes.
- Property management platform (e.g., AppFolio or Buildium)
- Zapier or Make.com
- Twilio (SMS)
- Jotform (maintenance request form)
Using different software? We build around what you already have, so you never have to switch tools to automate.
The manual way vs. the automated way
Without automation
Without a system in place, a maintenance coordinator has to manually chase down updates, send reminders one by one, and hope nothing falls through the cracks.
With this automation
- Low-stock and reorder alerts before you run out
- Vendor and subcontractor confirmations that chase themselves
- Preventive maintenance scheduled by usage or date
- Work orders and project milestones that update stakeholders
