Common Area Maintenance Scheduling & Vendor Confirmation
A done-for-you property management automation built for the Grounds & Facilities Manager, connecting Twilio so the work below happens on its own.
What this automation does, step by step
Recurring common-area tasks such as landscaping and pool service are automatically scheduled on their expected cadence, and vendor completion is automatically tracked and confirmed, instead of the grounds and facilities manager relying on a vendor's word that a service actually happened.
Any scheduled service that isn't confirmed completed within the expected window is automatically flagged for a follow-up call, closing the gap between what's on the service contract and what's actually happening on the property, a gap that used to only surface when a resident complained about overgrown grass or a green pool.
- Property management platform (e.g., AppFolio or Buildium)
- Zapier or Make.com
- Twilio (SMS)
Using different software? We build around what you already have, so you never have to switch tools to automate.
The manual way vs. the automated way
Without automation
Without this system, a grounds & facilities manager manually pieces together information from different places, then has to relay it to everyone who needs it. None of it is difficult, it's just slow, repetitive, and easy to fall behind on.
With this automation
- Low-stock and reorder alerts before you run out
- Vendor and subcontractor confirmations that chase themselves
- Preventive maintenance scheduled by usage or date
- Work orders and project milestones that update stakeholders
