Client Portal Activity Alert System
A done-for-you law firm automation built for the Practice Administrator, connecting Twilio, Clio, and Slack so the work below happens on its own.
What this automation does, step by step
The moment a client uploads a document or sends a message through the firm's secure client portal in Clio or NetDocuments, the automation automatically notifies the assigned attorney and the practice administrator through Slack, tagging the alert with the client's name and matter number so it's immediately clear which file needs attention.
Messages left unread for more than four business hours automatically escalate with a second reminder, and any upload flagged as urgent by the client triggers an immediate text through Twilio rather than waiting for the next email check.
A running Google Sheets log tracks response times across the whole team so the practice administrator can spot which matters are falling behind on portal responsiveness.
Nothing a client submits through the portal sits unread overnight anymore, and firms running this typically cut portal response time from the better part of a day down to a few hours.
- Secure client portal (e.g., Clio's client portal or NetDocuments)
- Zapier or Make.com
- Slack (attorney alerts)
- Twilio (urgent alerts)
- Google Sheets (response log)
Using different software? We build around what you already have, so you never have to switch tools to automate.
The manual way vs. the automated way
Without automation
Without automation, a practice administrator has to notice problems after they've already happened, then scramble to fix them manually one at a time. It rarely feels urgent in the moment, but it adds up fast.
With this automation
- Status updates triggered by real milestones in your systems
- Support requests routed to the right owner with full context
- Escalations when a response deadline is about to slip
- Fewer inbound status calls for your front desk
