Automated Case Status Update Notifications
A done-for-you law firm automation built for the Client Services Associate, connecting Twilio and Clio so the work below happens on its own.
What this automation does, step by step
Every time a case's status field changes inside the practice management system, whether it moves from "filed" to "discovery" or "in negotiation" to "settled," the automation automatically translates the internal status code into a plain-language update and pushes it to the client through the Clio client portal and a follow-up email.
A Zapier integration watches for status-field changes in MyCase and fires the notification within minutes rather than waiting for a staff member to remember to update the client, and clients can opt into SMS delivery through Twilio for faster visibility on their phone.
Because clients can see progress in real time instead of wondering, the client services associate's inbound "what's happening with my case" calls typically drop by more than half, freeing several hours a week that used to go to status-check phone calls.
- Practice management software (e.g., Clio or MyCase)
- Zapier or Make.com
- Twilio (SMS updates)
- Secure client portal (e.g., Clio's client portal)
Using different software? We build around what you already have, so you never have to switch tools to automate.
The manual way vs. the automated way
Without automation
Left to a person, this means a client services associate re-enters the same data more than once, double-checks it by hand, and still occasionally misses something. It rarely feels urgent in the moment, but it adds up fast.
With this automation
- Status updates triggered by real milestones in your systems
- Support requests routed to the right owner with full context
- Escalations when a response deadline is about to slip
- Fewer inbound status calls for your front desk
