    Employee Shift Reminder Automation

A done-for-you restaurant automation built for the Scheduling Manager, connecting Twilio so the work below happens on its own.

    How it works

What this automation does, step by step

    1. Every staff member scheduled for an upcoming shift automatically receives a reminder text the afternoon before, and again a couple of hours ahead of clock-in, pulled directly from the live schedule so a swapped or dropped shift updates the reminder automatically instead of texting someone for a shift they no longer have.

    2. No-call, no-shows that leave a shift short-staffed drop noticeably once reminders become routine, and the scheduling manager can see in the dashboard exactly who confirmed and who didn't respond, giving enough lead time to call a backup before service starts instead of finding out at the door.

    Tools it connects
    • Scheduling software (e.g., 7shifts or When I Work)
    • Zapier or Make.com
    • Twilio (SMS list)

Using different software? We build around what you already have, so you never have to switch tools to automate.

    Before and after

The manual way vs. the automated way

    Without automation

Done by hand, this depends entirely on a scheduling manager remembering to check in, update records, and follow up, with no safety net if something slips. Over a month, those small manual steps add up to a significant amount of lost time.

    With this automation

    • Interview scheduling without email ping-pong
    • New hire paperwork and account setup before day one
    • Certification and license expiration alerts
    • Timesheet and time-off workflows that route themselves
