Prescription Refill Request Routing & Status Updates
A done-for-you healthcare automation built for the Medical Assistant, connecting Twilio and Jotform so the work below happens on its own.
What this automation does, step by step
When a patient submits a refill request through the online form, this automation automatically routes it to the correct provider's queue based on the medication and prescribing physician, and immediately sends the patient a confirmation that the request was received.
As the request moves from submitted to provider review to approved, an automatic status text keeps the patient updated at each stage, and once the provider approves it, the request is transmitted to the pharmacy through the practice's e-prescribing system without a medical assistant having to manually relay the approval by phone.
Requests still sitting in the queue after 24 hours automatically escalate to a reminder for the assigned provider.
Refill turnaround time typically drops from a day or more of phone tag to just a few hours.
- EHR with e-prescribing (e.g., athenahealth or RXNT)
- Zapier or Make.com
- Jotform (refill request form)
- Twilio (status update texts)
- Email (confirmation)
Using different software? We build around what you already have, so you never have to switch tools to automate.
The manual way vs. the automated way
Without automation
Left unautomated, a medical assistant spends hours on the parts of this job that don't require judgment: copying data, sending reminders, and tracking status by hand. None of it is difficult, it's just slow, repetitive, and easy to fall behind on.
With this automation
- Status updates triggered by real milestones in your systems
- Support requests routed to the right owner with full context
- Escalations when a response deadline is about to slip
- Fewer inbound status calls for your front desk
