Equipment Return & Unreturned Fee Automation

A done-for-you telecom automation built for the Logistics Coordinator, connecting Twilio, Airtable, and Google Sheets so the work below happens on its own.

    How it works

What this automation does, step by step

    1. When a customer cancels service, this automation immediately emails and texts equipment return instructions along with a prepaid shipping label generated through the carrier's API.

    2. The system tracks the shipment using the label's tracking number and automatically updates the account the moment the equipment is scanned as received at the warehouse.

    3. If the return window, typically 14 or 21 days, passes without a tracked return, the automation applies the unreturned equipment fee to the final bill and sends the customer a notice explaining the charge and how to dispute it if the equipment was already shipped.

    4. The logistics coordinator sees a live dashboard of every pending return by days remaining, rather than manually chasing down modems and set-top boxes that were never sent back.

    Tools it connects

Using different software? We build around what you already have, so you never have to switch tools to automate.

    Before and after

The manual way vs. the automated way

    Without automation

Manually, a logistics coordinator is stuck doing repetitive follow-ups and data entry that could otherwise run quietly in the background. None of it is difficult, it's just slow, repetitive, and easy to fall behind on.

    With this automation

    • Low-stock and reorder alerts before you run out
    • Vendor and subcontractor confirmations that chase themselves
    • Preventive maintenance scheduled by usage or date
    • Work orders and project milestones that update stakeholders
