Volunteer Shift Confirmation & No-Show Reduction System

A done-for-you nonprofit automation built for the Community Engagement Coordinator, connecting Twilio, Airtable, and Google Calendar so the work below happens on its own.

    How it works

What this automation does, step by step

    1. When a volunteer signs up for a shift, they immediately receive an automatic confirmation text with the date, time, and location, followed by a reminder 48 hours out and a second reminder the morning of the shift with a one-tap link to cancel or reschedule if something comes up.

    2. Volunteers who cancel within 24 hours of a shift automatically trigger a notification to the community engagement coordinator so a replacement can be found before the shift is short-staffed.

    3. Anyone who no-shows twice in a rolling 90-day window is automatically flagged for a check-in conversation rather than quietly disappearing from the schedule.

    4. No-show rates have dropped noticeably since reminders started going out automatically instead of depending on volunteers checking their own calendars.

    Tools it connects

Using different software? We build around what you already have, so you never have to switch tools to automate.

    Before and after

The manual way vs. the automated way

    Without automation

Handled by hand, a community engagement coordinator spends time each day re-checking the same information across disconnected tools instead of doing higher-value work. None of it is difficult, it's just slow, repetitive, and easy to fall behind on.

    With this automation

    • Interview scheduling without email ping-pong
    • New hire paperwork and account setup before day one
    • Certification and license expiration alerts
    • Timesheet and time-off workflows that route themselves
