    Meeting Room Booking Conflict Alerts

A done-for-you everyday business automation built for the Executive Assistant, connecting Slack, Google Sheets, and Google Calendar so the work below happens on its own.

    How it works

What this automation does, step by step

    1. When two calendar invites land on the same conference room within the same time block, the workflow catches the double-booking the moment the second invite is sent instead of letting both teams discover it walking into the room.

    2. It checks the room resource calendar in Google Calendar or Outlook every few minutes, and the instant an overlap is detected it sends a Slack direct message to both meeting organizers and the executive assistant with the conflict details and a list of open rooms nearby that fit the headcount.

    3. If no one resolves it within fifteen minutes, the system automatically suggests the next available room and asks for a one-click confirmation.

    4. Awkward mid-meeting room swaps and standing outside a locked door with a client in tow become a thing of the past.

    Tools it connects

Using different software? We build around what you already have, so you never have to switch tools to automate.

    Before and after

The manual way vs. the automated way

    Without automation

Done manually, an executive assistant has to remember to follow up on every case individually, often relying on memory, phone calls, and whatever notes didn't get lost. Over a month, those small manual steps add up to a significant amount of lost time.

    With this automation

    • Multi-touch reminders that measurably reduce no-shows
    • Waitlists that backfill cancellations automatically
    • Self-scheduling with instant confirmations
    • Dispatch and on-my-way updates sent to the right people
