RMA Intake, Inspection & Disposition Workflow
A done-for-you warehouse automation built for the Returns Processing Supervisor, connecting Twilio and Jotform so the work below happens on its own.
What this automation does, step by step
When a return authorization is issued, this automation generates an RMA number, sends the customer a pre-paid label, and creates a pending receipt record in the system.
When the return arrives and is scanned in at the returns dock, the supervisor receives a prompt to complete a condition inspection via a mobile form.
Based on the inspection result (sellable, refurbish, vendor credit, or destroy) the system automatically routes the unit to the correct disposition queue, initiates the appropriate credit or replacement, and notifies the customer that their return has been processed.
Returns that have been received but not inspected for more than 48 hours are flagged for immediate resolution.
- ERP or WMS (returns module)
- Jotform (RMA inspection form)
- Zapier or Make.com
- EasyPost or ShipStation (return label generation)
- Twilio (customer return status notification)
Using different software? We build around what you already have, so you never have to switch tools to automate.
The manual way vs. the automated way
Without automation
Left to a person, this means a returns processing supervisor re-enters the same data more than once, double-checks it by hand, and still occasionally misses something. None of it is difficult, it's just slow, repetitive, and easy to fall behind on.
With this automation
- Low-stock and reorder alerts before you run out
- Vendor and subcontractor confirmations that chase themselves
- Preventive maintenance scheduled by usage or date
- Work orders and project milestones that update stakeholders
