Everything you're likely wondering about how we work, what it costs, and what we build, organized by topic.

General Questions

The Basics

What does LJ Web Management do?

LJ Web Management builds custom business automation systems that eliminate repetitive, manual workflows. We connect the tools you already use, CRMs, email platforms, field service software, and more, so that tasks like lead follow-up, appointment reminders, document collection, and reporting happen automatically without anyone on your team having to trigger them.

Do I need to replace my current software to use your automation services?

No. Our automations are built around the tools you already have. We connect your existing platforms, whether that's your CRM, email system, scheduling software, or field service app, so you get the benefit of automation without ripping out and replacing anything.

Can a small business benefit from automation?

Yes. Automating even one time-consuming, repetitive process, like following up with leads or sending appointment reminders, can free up significant hours each week. Small businesses often see the biggest proportional benefit because the same task can eat a larger share of a small team's time.

Will my team still be in control after automation is set up?

Yes. Automation handles the repetitive steps you define, sending messages, routing requests, updating records, while your team keeps full control over decisions, exceptions, and customer relationships. You decide what gets automated and what stays in human hands.

What kinds of processes can be automated?

Most repetitive, rules-based processes are good candidates. Common examples include lead follow-up sequences, appointment reminders, document collection, CRM updates, invoice generation, support ticket routing, inventory alerts, employee scheduling, and client reporting. If your team is doing the same task the same way over and over, it can almost certainly be automated.

Process & Pricing

How It Works, What It Costs

What is the process for getting started?

There are five steps: (1) Discovery Call, we talk through your workflows and identify where time and accuracy are being lost. (2) Scope and Proposal, you receive a clear breakdown of what we'll build, which tools it connects to, and a flat price before work starts. (3) Build and Connect, we build the automation and integrate it with your existing tools. (4) Test Together, you review the system on real examples from your business, and we tune it based on your feedback. (5) Launch and Support, the system goes live, your team gets a walkthrough, and we stay on to support it as things change.

How long does it take to build an automation?

It depends on the complexity of the workflow and the number of tools involved. You'll receive a clear project scope and timeline before any development begins, so there are no surprises. Simple, single-workflow automations typically move faster than multi-system integrations.

How much does business automation cost?

We don't publish a price list because every automation is scoped to your specific tools, workflows, and requirements. After a free discovery call, you'll receive a flat, all-in quote before any work starts. There are no hidden fees or hourly billing surprises.

Is there a consultation fee?

No. The initial discovery consultation is free. We use that call to understand your workflows and identify where automation would have the biggest impact. You'll walk away with a clear picture of what's possible before any commitment is made.

How do I get a quote?

Book a free consultation. We'll talk through your workflow, confirm what tools are involved, and follow up with a flat, all-in quote for the exact system you need. Nothing starts until you approve the scope and the price.

What happens if I'm not sure what to automate?

That's exactly what the discovery call is for. You don't need to arrive with a spec sheet. Tell us what's slowing your team down, where mistakes keep happening, or what tasks feel like busywork, and we'll identify the highest-impact automation opportunities for your business.

Tools & Technology

What We Build With

What tools and platforms do your automations work with?

Our automations typically use Zapier or Make.com as the integration layer, connecting to platforms like Salesforce, HubSpot, QuickBooks, Shopify, Mailchimp, ActiveCampaign, Twilio, DocuSign, Calendly, Airtable, Google Workspace, Slack, and dozens of industry-specific tools like Clio, Housecall Pro, Kareo, Follow Up Boss, and more. During your discovery call, we confirm exactly which tools your workflow requires.

What is an AI website assistant and how does it work?

An AI website assistant is a chat-based tool embedded on your website that answers common visitor questions, collects contact information, and qualifies potential customers automatically, 24 hours a day, without staff involvement. Instead of a prospect leaving your site because they couldn't get a quick answer, the assistant handles it instantly and routes qualified leads to your team.

How do you handle ongoing support after the automation goes live?

We stay on after launch to support the system as your workflows evolve. If a tool changes, a new team member joins, or your process shifts, we're available to update and maintain the automation so it keeps working the way your business needs it to.

Will you train my team on how to use the automation?

Yes. Once the system is live, we walk your team through exactly how it works, what to expect, and how to handle exceptions. Our goal is for your team to feel confident using the system from day one, not dependent on us to explain it every time something comes up.

By Industry

What We Build for Your Field

What industries do you build automations for?

We currently offer done-for-you automations for real estate, healthcare, legal, home services (HVAC, plumbing, electrical), e-commerce and retail, financial services, marketing agencies, hospitality and restaurants, and education and training, plus dozens more industry catalogs. We also work with businesses outside these industries, if your workflow is repetitive and disconnected, reach out and we'll confirm what's possible.

How does your real estate listing syndication automation work?

The moment a new listing goes live in your MLS/IDX feed, this automation pulls the photos, price, and description and pushes them to your Facebook and Instagram business pages, sends a branded email blast to your buyer list, and texts any client whose saved search matches the property. It also generates a single-property landing page automatically, so you never have to manually re-enter listing details across multiple platforms.

Can you automate maintenance request handling for property managers?

Yes. Tenants submit maintenance issues through a form or text line, and the system automatically classifies urgency (emergency, urgent, routine), notifies the correct vendor or technician, opens a work order in your property management platform, and keeps the tenant updated via automated texts, all without the property manager manually coordinating each step.

Do you build automations for medical and healthcare practices?

Yes. Our healthcare automations include appointment reminder and no-show reduction systems, automated patient intake and pre-visit form collection, medical billing claims status and denial follow-up, patient review and reputation management, and staff shift scheduling with coverage alerts. These are built to integrate with platforms like Kareo, SimplePractice, and common clearinghouses.

What automations do you offer for law firms?

We build core automations for legal practices: a client intake and conflict check system that screens new inquiries against your existing client database; a document assembly and deadline calendar system that auto-fills templates and calculates statutory deadlines; a billing and trust account reconciliation system; and a lead qualification and consultation scheduler. These integrate with platforms like Clio, Lawmatics, DocuSign, and Calendly.

Can you automate job booking and dispatching for home service businesses?

Yes. When a customer calls, texts, or fills out a form, our system checks technician availability, books the job, sends the customer a confirmation with the technician's name and ETA window, and notifies the assigned technician, running 24/7 without manual intervention. We also build technician routing, live ETA notification, quote generation, and job-completion-to-review-request automations for HVAC, plumbing, electrical, and similar businesses.

Do you build e-commerce automations?

Yes. Our e-commerce automations include abandoned cart recovery sequences, support ticket triage and AI-drafted response systems, low-stock alerts and auto-reorder purchase order generation, and customer segmentation with automated campaign delivery. These integrate with Shopify, WooCommerce, Klaviyo, Gorgias, Zendesk, and similar platforms.

What automations do you offer for marketing agencies?

We offer automations specifically for agencies: automated client reporting dashboards that pull data from Google Ads, Meta Ads, and Analytics into branded reports; a client check-in and task status update system; a content calendar and client approval workflow; and a rank tracking and SEO reporting system. These replace the manual, time-consuming process of building reports and status emails from scratch each week.

Can you automate financial services workflows like insurance renewals or loan processing?

Yes. For financial services, we build client onboarding and portfolio review schedulers for financial advisors, policy renewal and cross-sell reminder systems for insurance agents, invoice and expense reconciliation systems for bookkeepers, and application status and document collection systems for loan officers. These integrate with platforms like Wealthbox, AMS360, QuickBooks, and major loan origination systems.

Can you automate CRM and sales pipeline management?

Yes. We build automations that create and update CRM records automatically as leads move through your pipeline, assign tasks to the right team member, tag and score contacts based on behavior, and alert your sales team when action is needed, keeping opportunities moving without manual data entry.

Can you automate customer support workflows?

Yes. We build support automations that classify incoming requests by type, route them to the correct team member, send instant acknowledgment replies to customers, and flag high-priority issues for immediate attention, cutting response times and reducing the volume of tickets that require manual triage.

Can you automate email and follow-up sequences?

Yes. We build automated email and follow-up sequences that send timely, personalized messages based on triggers, a new lead coming in, a quote that hasn't been accepted, an appointment that was missed, or a customer who hasn't purchased in a set period. These run continuously without anyone on your team having to remember to send them.

Platform Solutions

Beyond a Single Automation

What is the difference between your automations and your platform solutions?

Our role-based automations are focused, done-for-you systems built around a specific job function, like a real estate agent's listing syndication or a bookkeeper's expense reconciliation. Platform solutions are broader infrastructure investments, ERP systems, Obsolescence Management platforms, Managed SaaS, and LMS deployments, designed for businesses ready to replace disconnected tools with one integrated backbone.

What is your Obsolescence Management Platform?

Our Obsolescence Management Platform is a centralized system that tracks the lifecycle status of every component, part, or piece of equipment your business relies on. It continuously cross-references your bill-of-materials data against manufacturer lifecycle notices, alerts procurement and engineering teams to at-risk parts, and recommends qualified alternatives, giving manufacturing, defense, aerospace, and industrial clients a proactive way to avoid costly last-time-buy scrambles and unplanned production stoppages.

Do you offer ERP implementation services?

Yes. We provide end-to-end ERP implementation and integration services covering system selection, implementation, customization, and integration with your existing operations. We work with platforms like NetSuite, SAP Business One, Microsoft Dynamics, and Odoo. The engagement includes data migration, workflow configuration, staff training, and ongoing support.

What is Managed SaaS delivery and who is it for?

Managed SaaS delivery is a subscription-based service where your custom software, internal tools, or automation stack is hosted, monitored, secured, and maintained on your behalf. It includes uptime monitoring, security patching, feature updates, and technical support. It's designed for businesses that want reliable, professionally maintained internal software without building an in-house DevOps or IT team.

Can you deploy and manage a Learning Management System (LMS)?

Yes. We configure and deploy fully branded learning management platforms for employee onboarding, ongoing compliance training, and certification programs. This includes course-building tools, progress tracking, automated reminders for incomplete training, and reporting dashboards for managers and HR. We also integrate the LMS with your existing HR systems so training completion data flows automatically into employee records.
